Consider the following scenario:
An oil company has two road distribution terminals on Tees-side:one at North Tees and one at South Bank.All ‘office work ’is carried out at North Tees.
Customer orders are received by telephone and noted on a despatch note (DN).These details are extended from a customer card index and filed by the requested delivery date.
The day before despatch,orders are routed.The South Bank terminal is advised by telephone of orders to be despatched from there the following day.At North Tees,DNs are passed to the despatch clerk who places them in pigeonholes by vehicle.The next day these are given to drivers when they arrive.
The drivers stamp the DN at the pump when loading to show the quantity loaded.They then deliver the product and obtain a signature on the DN from the recipient.The day after delivery,South Bank telephones the North Tees office to advise details of quantities delivered.At North Tees,the despatch clerk receives the previous day ’s DNs from the drivers as they arrive and passes them to the office.
In the office,DN details for customers in the private sector are entered at a PC.These are then transmitted to head office where invoices are produced and sent to the customers.
All aspects of payment are dealt with at head office.
For public sector customers,North Tees maintains records of quantities delivered and sends out invoices at the end of each month.Note that the company dispatches a number of different products,each with a different selling price.Again,all aspects of payment are dealt with by head office.
Duty is paid to Customs and Excise at the end of each month by the North Tees site for products delivered to both public and private sector customers. To this end,details of totals,delivered by product are maintained (for both terminals).
At the end of each month,a cheque is sent to Customs and Excise,together with a statement which provides a breakdown by product.Duty is levied at different rates for different products.
