Riverside Secondary
School is in the midst of automating some of its routine operations to free staff of
several tedious tasks which occur during the beginning and end of the academic year.

(a) | Represent the following scenario in a Physical
Data Flow Diagram. Begin with the creation of the curriculum, and the extend your diagram
to show the distribution of the final schedules. Prior to the start of a new academic year, the Heads of Department (HoDs) will draw the Class Schedules for the staff who serve under them. The lessons to be given at the various levels are fixed, and kept in a Curriculum file, which is used for schedule preparation. Once the schedules for the staff have been developed, they are printed out and distributed to the various members of staff at the school. The staff are encouraged to pinpoint any discrepancies to the HoDs who can then correct any mistakes and reprint the revised schedules. Three versions of the final schedules are then printed out: one copy goes to the Principal, the second copy if files in the Schedule File for reference, and the third goes to the staff. |

(b) | Represent the
following scenario in a Logical Data Flow Diagram. New admissions to Riverside are also handled by the staff. This includes the processing of applications, and the selection of successful candidates. The successful candidates are registered as students and are sent congratulation letters, while the unsuccessful candidates are sent rejection letters. The Student Database is then updated with a new student's particulars. During the course of the academic year, the staff in charge of the respective classes have to update the student files with their test marks for each month and keep track of their progress. Every three months, the Quarterly Performance Reports for individual students are printed out for evaluation by the Head of Department. |
